Privacy Policy

Hotels4Teams ("H4T") helps travelers find hotels near venues of all types, and also provides venue and area information, travel guides, and sports- and travel-related content. When you search for hotels, view hotel details or pricing, make a reservation, or view or modify an existing reservation, those booking pages are provided by our partner HotelPlanner ("HotelPlanner" or "HP") through their white-label booking service. HP collects and controls all booking and payment information. H4T does not collect or store booking or payment data. See below for details.

1. Who We Are and Where This Policy Applies

Hotels4Teams (H4T): H4T operates informational content on https://www.hotels4teams.com, including venue landing pages, travel guides, and sports- and travel-related articles. These pages are hosted on Amazon Web Services (AWS) and delivered through Amazon CloudFront for performance and security (for example, routing, content delivery, and DDoS protection). On these informational pages, H4T collects only limited site-usage information, as described in Section 2. H4T does not collect reservation or payment information on these pages.

HotelPlanner (HP): When you search for hotels, view hotel details, make a reservation, or view or modify an existing reservation from any H4T-branded booking page (for example, www1.hotels4teams.com or an event-specific booking subdomain), you are using HotelPlanner's white-label booking service. HotelPlanner ("HP") collects and controls the booking information on those pages, including guest and payment details. HP's Terms of Use are available at hotelplanner.com/Terms.htm and HP's Privacy Policy is available at hotelplanner.com/Privacy.htm.

2. Information We Collect on H4T Informational Pages

We collect limited site-usage information via Google Analytics 4 ("GA4"), including: browser type and settings, pages visited and referring URLs, date and time of access, device characteristics, and a truncated or masked form of IP address (GA4 does not store full IP addresses). We use cookies and similar technologies solely for analytics and performance. A cookie consent banner is presented on Your first visit. You may accept or decline analytics cookies. If You decline, Google Analytics will not collect data during Your visit. We do not use advertising pixels or cross-context behavioral advertising technologies.

3. Information Collected by HP on H4T-Branded Booking Pages

HP collects: guest and contact details, reservation dates and stay preferences, hotel and rate selections, and payment information. HP processes payments and issues confirmations under HP's Privacy Policy.

4. Customer Support and Limited Access to Booking Details

H4T support staff may access via HP's admin portal: guest name(s), contact email and phone, reservation details (hotel, dates, room type, status), and in some cases last four digits of payment card. H4T does not have access to full card numbers and does not store any payment card data.

5. How Information Is Used

H4T informational pages: We use information to operate, optimize, and secure the website, understand aggregated usage, detect fraud, and comply with legal obligations.

HP booking pages: See HP's Privacy Policy for details on how booking information is used.

6. Booking-Experience Feedback Emails

H4T may send post-booking feedback emails using a third-party email service provider (such as Mailchimp), acting as a data processor on H4T's behalf. We may provide the customer's name, email address, and hotel name to the service provider solely for the purpose of delivering feedback requests. The service provider does not use this information for its own purposes. Each message includes an unsubscribe link. Feedback about hotel stays is handled by HP or the hotel, not H4T.

7. Your Privacy Choices

GA4 opt-out tools are available through Google. Unsubscribe links are included in feedback emails. H4T does not sell or share personal information, including for cross-context behavioral advertising.

8. U.S. State Privacy Rights

If You are a resident of California, Virginia, Colorado, Connecticut, or another state with an applicable consumer privacy law, You may have the right to:

  • Request access to the personal information we hold about You
  • Request deletion of Your personal information
  • Request correction of inaccurate personal information
  • Opt out of the sale or sharing of personal information (H4T does not sell or share personal information)

To exercise any of these rights for H4T data, email privacy@hotels4teams.com. We will respond to verified requests within 45 days. For booking information held by HP, submit requests to HP directly per their Privacy Policy. H4T does not use sensitive personal information to infer characteristics about consumers.

9. Data Retention

H4T retains Google Analytics data for 14 months, after which it is automatically aggregated or deleted by Google. Customer email addresses collected for feedback purposes are retained only as long as necessary to deliver the feedback request and are deleted within 90 days. HP determines retention periods for booking information per their own Privacy Policy.

10. Service Providers

H4T uses the following third-party service providers to operate the Website:

  • Amazon Web Services (AWS): Website hosting and content delivery (CloudFront)
  • Google Analytics 4: Aggregated site usage analytics
  • Mailchimp (or similar): Post-booking feedback emails
  • HotelPlanner: Hotel search, booking, and reservation management (see Sections 1 and 3)

These providers access only the information necessary to perform their respective functions and are contractually obligated to protect it.

11. Security

We use administrative, technical, and physical safeguards. Our site is hosted on AWS with CloudFront delivery. CloudFront does not handle reservation or payment information. Booking information and payment processing occur solely on HP's systems.

12. Children's Privacy

Our Website is not intended for individuals under 18. We do not knowingly collect information from children under 13.

13. Do Not Track

Our Website does not currently respond to Do Not Track signals. We will update this policy if a standard is established.

14. International Visitors

Our services operate in the United States. Information may be processed in the U.S.

15. Governing Law

This Privacy Policy is governed by and construed in accordance with the laws of the State of New Jersey, without regard to its conflict of law provisions.

16. Changes to This Policy

We may update this Privacy Policy from time to time. If materially changed, we will post the updated policy and revise the effective date above.
