Privacy Policy

Summary. Hotels4Teams (“H4T”) helps travelers find hotels near venues of all types, and also provides venue and area information, travel guides, and sports- and travel-related content. When you search for hotels, view hotel details or pricing, make a reservation, or view or modify an existing reservation, those booking pages are provided by our partner HotelPlanner (“HotelPlanner” or “HP”) through their white-label booking service. HP collects and controls all booking and payment information. H4T does not collect or store booking or payment data. See below for details.

1. Who We Are and Where This Policy Applies

Hotels4Teams (H4T). H4T operates informational content on https://www.hotels4teams.com, including venue landing pages, travel guides, and sports- and travel-related articles. These pages are hosted on Amazon Web Services (AWS) and delivered through Cloudflare for performance and security (for example, routing, content delivery, and DDoS protection). On these informational pages, H4T collects only limited site-usage information, as described in Section 2. H4T does not collect reservation or payment information on these pages.

HotelPlanner (HP). When you search for hotels, view hotel details, make a reservation, or view or modify an existing reservation from any H4T-branded booking page (for example, www1.hotels4teams.com or an event specific booking subdomain), you are using HotelPlanner’s white-label booking service. HotelPlanner (“HP”) collects and controls the booking information on those pages, including guest and payment details. 2. Information We Collect on H4T Informational Pages

When you visit H4T informational pages on www.hotels4teams.com, we collect limited usage information through Google Analytics 4 (“GA4”), which may include:

  • Browser type and settings
  • Pages visited and referring URLs
  • Date and time of access
  • Device characteristics
  • A truncated or masked form of IP address (GA4 does not store full IP addresses)

We use cookies and similar technologies solely for analytics and performance on H4T informational pages. We do not use advertising pixels or cross-context behavioral advertising technologies here.

3. Information Collected by HP on H4T-Branded Booking Pages

When you view hotels, search for rooms, or complete a reservation on H4T-branded booking pages, HP collects and controls booking information, including:

  • Guest and contact details
  • Reservation dates and stay preferences
  • Hotel and rate selections
  • Payment information necessary to complete your booking

HP processes payments and issues confirmations. HP’s handling of booking information is governed by HP’s Privacy Policy: https://www.hotelplanner.com/Privacy.htm.

4. Customer Support and Limited Access to Booking Details

To assist with booking-related inquiries (for example, to locate or confirm a reservation), H4T support staff may access limited booking information through HP’s administrative portal. H4T may view:

  • Guest name(s)
  • Contact email and phone
  • Reservation details (hotel, dates, room type, and status)
  • In some cases, the last four digits of the payment card number as shown on HP’s booking receipt view

H4T does not have access to full card numbers and does not store any payment card data.

5. How Information Is Used

H4T informational pages (analytics data):

  • Operate, optimize, and secure the website
  • Understand aggregated usage and performance
  • Detect and prevent fraud or misuse
  • Comply with legal obligations

6. Booking-Experience Feedback Emails

H4T may send post-booking emails requesting feedback on the booking experience. We may use a service provider (such as Mailchimp) acting solely on our behalf to send these messages. H4T may provide the customer’s name, email address, and hotel name to the service provider for this purpose. Each message includes an unsubscribe link.

Feedback about your hotel stay is handled by HP or the hotel, not H4T.

7. Your Privacy Choices

  • Unsubscribe links are included in H4T feedback emails.
  • H4T does not sell or share personal information, including for cross-context behavioral advertising, as defined under applicable U.S. state privacy laws.

8. U.S. State Privacy Rights

Residents of applicable states may have rights to request access, deletion, or correction of personal information and to receive information about our data practices.

For data collected on H4T informational pages:

For booking information:

Because HP is the controller of booking data, submit requests to HP using the instructions in HP’s Privacy Policy: https://www.hotelplanner.com/Privacy.htm.

H4T does not use sensitive personal information to infer characteristics.

9. Data Retention

H4T retains analytics data for limited periods as configured in GA4 and then aggregates or deletes it.

HP determines the retention period for booking information.

10. Security

We maintain administrative, technical, and physical safeguards appropriate to the information we handle. H4T’s informational pages are hosted on AWS and delivered through Cloudflare for performance and security. Cloudflare processes traffic to help secure and deliver the site but does not handle reservation or payment information. Booking information and payment processing occur solely on HP’s systems.

11. Children’s Privacy

Our services are not intended for individuals under 18. We do not knowingly collect personal information from children under 13.

12. Do Not Track

Some browsers include a “Do Not Track” (“DNT”) feature that signals to websites that a user does not want their online activity tracked. At this time, there is no industry standard for how websites should respond to these signals, and we do not currently respond to DNT signals. We will update this Policy if that standard changes.

13. International Visitors

Our services operate in the United States. If you access www.hotels4teams.com from outside the U.S., your information may be processed in the United States, where privacy laws may differ from those in your jurisdiction.

14. Changes to This Policy

We may update this Policy from time to time. If materially changed, we will post the updated Policy and revise the effective date above.
